Experiencing late payments from clients is a common challenge for businesses, but implementing effective strategies can mitigate the impact on your operations. Here is a practical guide to managing and preventing overdue invoices.

Establish clear payment terms

At the outset of any business relationship, define explicit payment terms: the due date, the payment methods you accept, and any penalties that apply to late payment.

Make sure those terms are documented in your contract and acknowledged by the client. Terms agreed at onboarding are far harder to dispute later.

Implement a robust invoicing system

An automated invoicing system issues invoices promptly, offers the customer more than one way to pay, and sends reminders as the due date approaches. Most late payment starts with an invoice that arrived late or went to the wrong person.

Maintain open communication

If a payment becomes overdue, make contact promptly. A friendly reminder often resolves it, because the delay is frequently an oversight or an administrative error. Document every conversation so you have a record if further action becomes necessary.

Offer flexible payment solutions

Understanding a customer’s position can get you paid faster. A payment plan or a short extension for a client with a temporary cash flow problem often recovers the money more quickly than a standoff, and keeps the relationship intact.

Enforce late payment penalties

Late fees deter delay. Set out the consequences in your contract, specifying the interest and costs payable in line with the Late Payment of Commercial Debts (Interest) Act 1998. Having the penalty available also gives you something to waive in exchange for immediate payment.

Suspend services where necessary

If a customer consistently fails to pay on time, consider halting further work or deliveries until the outstanding invoices are settled. It underlines that the payment agreement matters, and stops you accumulating more unpaid work.

Seek professional recovery help

When internal chasing has run out of road, a professional agency recovers the debt to legal and ethical standards while you get back to running the business.

If all else fails

We have years of experience resolving excuses for late payment. Tell us what is outstanding and we will tell you whether it is worth pursuing.

Unpaid invoice collection

If reminders have not worked, hand the invoice to us. You pay commission only if we collect, and we claim late payment interest from the debtor.
